The SDC/Mental Wellness Administrative Assistant will be instrumental in providing administrative support to the Director of Mental Wellness and other key management staff. This individual will interact with staff from throughout the Mental Wellness Division, support staff, elders and their loved ones, and service providers throughout the community.

- Submit to DOEA background check and drug screening.
- Maintains Director of Mental Wellness daily calendar; schedules appointments, conferences, and meetings; makes travel arrangements
- Provides essential interface with scheduling meetings, posting reminders, maintaining correspondence, etc.
- Prepares necessary background materials for Director of Mental Wellness scheduled meetings, including organization of agenda notices and ensures proper distribution; composes, prepares a variety of basic correspondence for Director’s approval and signature, forms, reports, and spreadsheets, and tables.
- Receives and screens telephone calls, reviews voice mail messages and if necessary makes proper referrals to other staff members, and/or provides appropriate and timely response
- Receives mail and administers organizational correspondence control daily, including review and independent response or takes appropriate action when possible
- Provides assistance with the preparation of proposals and/or contract packages including typing and collecting materials or documents needed in a timely manner
- Establishes and maintains record-keeping and filing systems
- Sends out and collecting SDC applications
- Assigns SDC participants to coaches and peer specialists
- Updates wait list at Aging True LSF
- Sends out monthly newsletters
- Sends out communication to participants and providers
- Files in participant files
- Completes billing in all appropriate systems for SDC and MW
- Comprises various reports on a weekly basis
- Other duties as assigned by the supervisor
Measurable Evaluation of Performance:
- Maintains efficient filing and communication skills to facilitate team work within the division.
- Assists divisional support staff in creating efficient work flow systems.
- Maintains professional and discreet attitude relating to the confidential and sensitive information of the organization
Working Conditions/Physical Requirements:
- Business hours are Monday through Friday, 8:30 a.m.-5:00 p.m.
- Due to circumstances that may arise, overtime maybe required at times. In all cases, overtime must be pre-approved by your supervisor.
- Must be able to remain in a stationary position 50% of the time.
- Requires sitting at a computer for up to eight hours a day.
- The person in this position will occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
